PAPER SUBMISSION GUIDELINES (ICoDT2)

 

Author Guide: The Corresponding Author should submit the paper abstracts by the ‘Abstract Submission Deadline’.  Abstracts and papers must be submitted using the conference submission system (https://easychair.org/cfp/icodt2). It is important that the abstract accurately covers the scope and novel contributions claimed by the paper to make informed decisions about its relevance to the conference. Placeholders or duplicate abstracts will be removed. Please note that no changes to the authors’ list and their relative order would be admissible after the abstract submission deadline unless explicitly applied by the corresponding author with justification.

Source code: Source code associated with a paper can be uploaded as a part of the supplementary material. Code submission gives more information to reviewers, especially for replicability of the paper. We encourage all authors to submit code as a part of their submission. Note that reviewers are encouraged, but not required to review supplementary material during the review process. All supplementary code must be self-contained and zipped into a single file.

Paper length: Submissions will be subject to a strict paper limit of 08 pages, inclusive of bibliography.  This page limit applies to both the initial and final camera-ready version.

Reproducibility: It is important that the work published in ICoDT2 is reproducible. Authors are strongly encouraged to include a paragraph-long Reproducibility Statement at the end of the main text (before references) to discuss the efforts that have been made to ensure reproducibility. This paragraph should not itself describe details needed for reproducing the results, but rather reference the parts of the main paper, appendix, and supplemental materials that will help with reproducibility. For example, for novel models or algorithms, a link to an anonymous downloadable source code can be submitted as supplementary materials; for theoretical results, clear explanations of any assumptions and a complete proof of the claims can be included in the appendix; for any datasets used in the experiments, a complete description of the data processing steps can be provided in the supplementary materials. Each of the above are examples of material / data that can be referenced in the reproducibility statement. This optional reproducibility statement will not count toward the page limit, but should not be more than 1 page.

Paper Revisions: Authors can revise their paper as many times as needed up to the paper submission deadline. Changes to the paper will not be allowed while the paper is being reviewed.

Once reviews have been posted, authors are encouraged to revise their paper until the paper submission deadline. The notification email will include comments from the reviewers. The short amount of time between paper acceptance decisions and the beginning of the conference does not allow for a two-way discourse between the authors and the reviewers of a paper.

Dual Submission Policy: Submissions that are identical (or substantially similar) to versions that have been previously published, or accepted for publication, or that have been submitted in parallel to this or other conferences or journals, are not allowed and violate our dual submission policy. However, papers that cite previous related work by the authors and that have been presented at workshops (i.e., venues that do not have publication proceedings) do not violate the policy. The policy is enforced during the whole reviewing process period.

The Use of Large Language Models (LLMs): The use of LLMs is not allowed in ICoDT2. Authors should understand that they take full responsibility for the contents of their papers, including content generated by LLMs that could be construed as plagiarism or scientific misconduct (e.g., fabrication of facts).  LLMs are not eligible for authorship.

Proof Reading: Before submission, the authors are required to thoroughly proofread their paper to ensure accuracy and clarity.

Withdrawal Policy: Authors have the right to withdraw papers from consideration at any time until notification of acceptance date. Before the notification of acceptance date, if an author withdraws the paper it will be deleted from Conference registration system (Easy chair). However, note that after the notification deadline, if an author chooses to withdraw a submission, it will remain hosted by ICoDT2.

Paper Formatting:  Prepare your submission using the IEEE manuscript template. The author guidelines and live template are available for download via the provided link. https://www.ieee.org/conferences/publishing/templates.html. Download the template and adhere to the instructions outlined within the live template.

Online Submission: File Format

All submissions must be made electronically as a PDF file. The submitted PDF file must adhere to the following constraints:

1) Adobe document protection or document security must be disabled,

2) The document must be in first-page-first order, and

3) All fonts must be embedded in the PDF file.

File Size Limit

1) Authors will be permitted to submit a document file up to 100MB (megabytes) in size.

2) Supplementary Material

3) Authors can submit supplementary material in the format of pdf. The size of each file shall not exceed 100 MB.

Language: Submissions must be in English. Authors are responsible for ensuring the quality of written English in their submissions.

Ethical Considerations: Authors must adhere to ethical standards in research and publishing. Proper citation of sources is essential, and any form of academic misconduct will result in rejection.

Copyright: By submitting a paper, authors agree to transfer copyright to the conference organizers if their paper is accepted for presentation. Copyright transfer forms will be provided upon acceptance of papers.

Prepare The Final Paper: Please ensure the author names and affiliations have been added to your paper, acknowledgements and citations are reinstated, and redactions removed.

Make any minor revisions to the accepted paper based on the comments from the reviewers. In general, changes should be limited to areas in which improvement was recommended by the reviewers. Changes to the title and author list are not allowed except for extraordinary circumstances, e.g., if the reviewers and program chairs suggested changes to the title.

Important Dates: Pay close attention to submission deadlines for abstracts and full papers. Late submissions will not be considered.

Presentation Format: Authors of accepted papers will be required to prepare a presentation for the conference. Guidelines for presentation format and duration will be provided upon acceptance.
